PRIVACY NOTICE

Childbase Training Booking

Little Wing First Aid Training operates this booking system for Childbase. This notice explains what information we collect, why we need it and how we use it.

1. What information do we collect?

When you book a course, we collect:

• your name, job role and workplace;
• your contact mobile number;
• your course and booking details; and
• any dietary, learning, accessibility or adjustment information you choose to tell us about.

We also record your attendance and course completion.

2. What do we use it for?

We use your information to:

• book and manage your course;
• contact you about your training;
• arrange any dietary, accessibility or learning support you need;
• record your attendance and course completion;
• issue your certificate; and
• maintain your training record.

We only collect information needed to organise and deliver your training.

3. Why are we allowed to use your information?

Childbase has a legitimate interest in organising, delivering and keeping records of employee training. We only collect the information reasonably needed for that purpose.

Some dietary, accessibility or learning information may include health information. Where this happens, Childbase uses the information where it is needed to meet its responsibilities towards employees, including health, safety, welfare or reasonable adjustments.

Little Wing processes this information on Childbase's behalf to organise and deliver the training.

4. Who can see your information?

Little Wing and authorised Childbase staff can access information needed to organise and deliver your training.

Dietary, accessibility or learning information is only shared with people who need it to make appropriate arrangements.

We also use trusted technology providers to operate the booking system and send emails.

We do not sell your information or use it for unrelated marketing.

5. How long do we keep your information?

We only keep information for as long as we need it.

• Mobile phone numbers, dietary requirements, food allergies and learning, accessibility or adjustment information are deleted overnight after your course has taken place.
• Booking, attendance and certificate records are kept for seven years so that we can maintain an appropriate record of the training and certificates we have issued.

After these periods, the information is securely deleted unless there is a legal reason why it needs to be kept for longer.

6. Your rights

You can ask to:

• see the information held about you;
• correct information that is wrong;
• ask for information to be deleted where appropriate; or
• raise a concern about how your information is being used.

Childbase is responsible for deciding how your employee training information is used. Little Wing processes that information on Childbase's behalf.
